How to prepare a supplier sourcing brief

A useful brief makes supplier proposals comparable. Start with product purpose and mandatory parameters; label unknown information instead of filling gaps with assumptions.

Start with the decision-making inputs

Describe what the product is for and which properties are mandatory. Replace a vague request for high quality with a parameter and an agreed way to confirm it, where known. Keep preferences separate from requirements.

Order volume, destination market, packaging and timing help define the task. Mark provisional values and questions explicitly.

A concrete specification question

For a panel, thickness, the measurement method and any tolerance must be addressed separately. '8 mm; tolerance and confirmation method to be agreed' is clearer than assuming a precision that has not been approved.

A catalogue presents options but does not replace a specification. Identify whether information is a requirement, supplier statement or supported finding.

Before sending

  • Check that everyone uses the same revision.
  • Separate mandatory requirements from preferences.
  • Do not place confidential drawings in public folders; agree a transfer method.
  • Send a short brief first and discuss supporting documents with the team.
